About TrakIt Apps
- What is TrakIt Apps?
- TrakIt Apps is a cloud-based operations platform for service companies, fleet operators, and field-based teams. The base subscription includes four integrated modules — Inventory, Asset Tracking, Fleet Management, and Training & Compliance — plus optional add-ons that extend the platform.
- How is my data separated from other customers?
- Every tenant is provisioned with its own dedicated PostgreSQL database. There is no shared application table that holds rows belonging to multiple tenants — your data physically lives in a database that only your users can connect to. Branches inside your account are further isolated by branch-aware permissions (a SUPERVISOR scoped to one branch cannot read another branch's records).
- Are there limits on users?
- No. Users are unlimited on every tier. You pay for branches, not seats — add as many ADMIN, MANAGER, SUPERVISOR, OFFICE, WAREHOUSE, TECHNICIAN, or VIEWER users as your operation needs at no incremental cost.
Included Modules
- What is included in every plan?
- Every subscription includes four platform modules: Inventory Management (multi-location stock, vendor catalog, pack hierarchies, receipts, transfers, adjustments, physical counts), Asset Tracking (equipment, checkouts, condition history), Fleet Management (vehicles, fuel, inspections, incidents), and Training & Compliance (courses, certifications, expirations). - Do I have to use every module?
- No. Modules are integrated when you want them to be — for example, asset checkouts can pull from the same user roster as inventory transactions — but you can use any module independently. Unused modules don't clutter the dashboard.
Optional Add-ons
- What are add-ons?
- Add-ons are optional modules that build on top of the platform features. Current add-ons include Purchase Orders (extends Inventory with PO drafting, approval, and receipt matching) and the Chemical Label Library (GHS-compliant labels, SDS attachments, regulatory data). See Add-ons for details.
- How is add-on billing handled mid-cycle?
- Subscribing to an add-on takes effect immediately and is pro-rated to the day. Unsubscribing takes effect at the end of your current billing cycle — you keep access for the rest of the cycle you've paid for. See the Upgrades and Downgrades sections below for the exact mechanics.
Pricing
- How much does it cost?

- Starter — $199.95/month: 1 branch, unlimited users, all four platform modules.
- Professional — $499.95/month: up to 3 branches, multi-branch dashboards, cross-branch transfers.
- Additional branches — $99.95/month each: beyond 3 branches. Example: 5 branches = $499.95 + 2 × $99.95 = $699.85/month.

- Can I change tiers later?
- Yes. Branches can be added or removed at any time from the admin panel — the system handles the tier transition automatically based on your current branch count. Adding a branch is pro-rated immediately; removing one takes effect next cycle.
- Is there a free trial?
- No. A credit card is required at signup, and your first month is charged that day. You can cancel any time — cancellation takes effect at the end of your current monthly cycle, so you keep access through what you've paid for.
Billing Cycle
- How long is a billing cycle?
- Billing is monthly, anchored to the day you first signed up. From then on, your card is automatically charged the same day each month.
- When does the first charge happen?
- A credit card is required at signup, and your first charge fires that day. From then on, your card is automatically charged on that anniversary date each month — no proration, no calendar math, just a clean monthly cadence.
- How am I charged?
- Your credit card on file is automatically charged on your monthly billing date. There are no manual payments and no due dates — billing is hands-off. You can update the card on file at any time from the billing page in your admin panel.
- What does my monthly charge include?
- Every cycle's charge starts with a Platform line for your base subscription (tier price + branch overage if applicable). Mid-cycle changes add more lines — Credit lines (negative) for unused portions of removed services and Adjustment lines (positive) for pro-rated new services. Add-ons appear as their own lines. The full breakdown is visible in your billing history.
- Where can I see what I was charged?
- Your billing history (in the admin panel) shows every cycle's charge with the line-by-line breakdown. Each cycle becomes a permanent record you can review or download for accounting.
Upgrades & Additions
- What happens when I add a branch or subscribe to an add-on mid-cycle?
- Upgrades and additions take effect immediately and are pro-rated daily for the remainder of the current cycle. Two new lines are added to your current cycle's charges — a Credit line for the unused portion of the previous rate (if any), and an Adjustment line for the pro-rated new rate.
- Can you walk me through an example?

Suppose you have a Starter plan ($199.95/month) and you upgrade to Professional ($499.95/month) with 20 days remaining until your next monthly billing date:
- Credit: -$133.30 (unused portion of the old rate, prorated daily)
- Adjustment: +$333.30 (pro-rated new rate for the remaining 20 days)
- Net incremental charge: $200.00
Both lines appear in your billing history so the math is transparent. From your next monthly billing date onward, the automatic charge is the full new rate of $499.95.
- What if I upgrade on the last day of my cycle?
- If there are zero days remaining in the cycle when you upgrade, no pro-ration is applied — the new rate simply takes effect at the start of the next cycle. The event is still recorded for your audit trail.
Downgrades & Removals
- What happens when I remove a branch or unsubscribe from an add-on?
- Downgrades and removals take effect at the start of your next billing cycle — never mid-cycle. You keep access to the service for the rest of the cycle you've already paid for, and your next automatic charge is at the new (lower) rate.
- Why no mid-cycle credit for downgrades?
- You've paid for the full cycle, so you keep the service for the full cycle. The downgrade is recorded as a pending change and applied automatically when the new cycle begins — no manual action required.
- Can I see scheduled downgrades before they take effect?
- Yes. The billing page in your admin panel shows all pending changes (downgrades, removals, scheduled cancellations) along with the date each takes effect.
Cancellation
- How do I cancel my account?
- Account cancellation is initiated from your admin panel's billing page. Once submitted, your account is scheduled for termination at the end of your current billing cycle.
- How do I download my data before cancelling?
- While your account is active, you can export data from list and report pages throughout the tenant app — inventory valuations, transactions, receipts, transfers and adjustments, asset records, vehicle fuel/service/inspection logs, fleet and asset reports, training certifications, and more. For a complete database backup (PostgreSQL
pg_dumpformat — useful for migration to another system or long-term archival), contact support. Download anything you want to keep before your final cycle ends. After termination, your tenant database is taken offline and recovering data may require contacting support. - What happens after I cancel?
- You retain full access to your account — including all data export features — until your current cycle ends. No further charges will be made to your card, and your account does not renew. After the final cycle ends, the account is marked TERMINATED and no new cycle is created.
- What if I change my mind after cancelling?
- If you cancel and then decide to continue before the cycle ends, you can resume your account — the pending cancellation is reversed and billing continues normally into the next cycle. After the cycle ends and the account terminates, restoration may require contacting support.
Refunds
- Do you offer refunds?
- No. Cancellations and downgrades take effect at the end of your current cycle — you keep access for the full period you've been charged for. There are no mid-cycle refunds for cancelled accounts, removed branches, or unsubscribed add-ons.
- I was charged for a feature I didn't mean to add. What now?
- Every mid-cycle addition is recorded with the user who initiated it and the exact date — visible in your billing history. If a charge was made in error, contact support so the situation can be reviewed.
Security & Data
- How are my passwords stored?
- All passwords — for both system admins and tenant users — are hashed with bcrypt before being stored. Plaintext passwords are never written to the database or logs.
- How are sessions secured?
- Sessions use HttpOnly, SameSite=Strict cookies with rotating IDs. Each authenticated request validates the session against the server and slides the expiration. Session payloads include a CSRF token that protects every state-changing request.
- What about role-based access?
- Every action in the tenant app is gated by an explicit permission code. Seven built-in roles (ADMIN, MANAGER, SUPERVISOR, OFFICE, WAREHOUSE, TECHNICIAN, VIEWER) come with sensible defaults, and admins can override per-role permissions to match their organization. Branch-restricted users automatically have their data filtered to their assigned branch.
- Is my data backed up?
- Yes. Tenant databases are backed up on a daily schedule. Backup retention and restore procedures are part of the operations runbook — contact support for specifics about your account.
